Job Summary

The Acquisitions Coordinator provides leadership in collection development for Kent Library’s online and print collections. The Coordinator is actively engaged in outreach to library liaisons, academic department liaisons, department chairs, publishers, vendors and University Finance and Administration. The Coordinator leads and manages the acquisition of online resources such as databases, eJournals, eBooks and streaming videos, print books, 3D models and other resources in support of teaching, learning and research by Southeast students, faculty and staff. The Coordinator has primary responsibility for managing and expending the library materials budget; licensing, subscribing, renewing and purchasing resources; and reporting on financial and acquisitions activities. The Coordinator is responsible for effective and efficient unit management and operations; including hiring, training and supervising unit staff and plays a leadership role management of the library system, focusing on acquisitions functions.

Primary Responsibilities:

  • Manage and expend library materials budget ($1.3+ million);
  • Manage, plan and supervise Kent Library’s online, streaming, print and other materials acquisitions; including, resource subscriptions, licenses and renewals by working closely with vendors and University Finance and Administration;
  • Ensure the Library follows university and state required business and accounting practices and maintains an audit trail;
  • Coordinate materials acquisitions activity generated by a liaison system that includes academic department faculty liaisons to Kent Library and librarian liaisons partnered with academic departments;
  • Establish and maintain effective business relationships with vendors and electronic service providers;
  • Prepare financial reports that clearly track monies allocated, encumbered and expended for different collections and subject areas;
  • Supervise full-time Acquisitions technical and clerical staff and set work assignments;
  • Hire, train, schedule and evaluate unit staff in accordance with Library and University policies;
  • Supervise and manage daily Acquisitions operations, such as ordering and receiving or activating new materials and fund accounting;
  • Serve as a technical expert for library acquisitions related functions;
  • Participate in administering the library management system and provide leadership for acquisitions activities;
  • Possess strong interpersonal and verbal and written communication skills for interactions with faculty, staff, students, publishers and vendors and their representatives, and library donors;
  • Create a unit culture that encourages initiative, cross-training and professional development;
  • Develop and maintain effective communication within Acquisitions and with other library units;
  • Maintain and/or write and implement Kent Library’s collection development and acquisitions policies and procedures;
  • Chair the Library’s Collection Development and Management committee;  
  • Initiate and supervise special projects as necessary and appropriate;
  • Communicate information with University departments and units;
  • Share in library policy formulation, budgeting and planning; and
  • Serve on library and university committees.

Required Qualifications:

  • Bachelor’s degree from an accredited college or university
  • Minimum of three years library acquisitions or university purchasing experience
  • Minimum of two years experience supervising staff
  • Experience reviewing vendor licenses and ensuring compliance with library needs and institutional/state level legal requirements and/or an understanding of relevant issues
  • Practice tracking budgets and expenditures and/or licensing of, and subscribing to, library resources   
  • Expert knowledge of Microsoft Excel and Word and a technical understanding of working with online resources
  • Experience with a library management or financial management system
  • Knowledge, or awareness of, current trends in library acquisitions, collections or electronic resource management and/or university purchasing
  • Evidence of excellent communication, interpersonal, organizational and analytical skills
  • Demonstrated experience and understanding of customer service
  • Demonstrated initiative, flexibility and ability to work well as a member of a group and individually
  • Demonstrated commitment to collegiality when interacting with others
  • Demonstrated commitment to a diverse work environment, including working with multicultural populations and an understanding of, and sensitivity to, issues affecting women and minorities
