Job Summary

The Senior Administrative Assistant will support the Kent Library Dean, faculty and staff.  Examples of support include managing budget accounts, maintaining files, scheduling meetings, organizing Library events and assisting with travel arrangements.  The Senior Administrative Assistant reports to the Dean.

Primary Responsibilities

  • Provides full administrative support to the Dean
  • Greets visitors, maintains a friendly and welcoming office environment, answers multiple telephone lines and serves as a resource for inquiries
  • Manages multiple budget accounts, including creating purchase requisitions and processing invoices for payment
  • Generates and shares a comprehensive monthly Library budget report and other budget reports as requested
  • Performs computer applications, including spreadsheets, word processing and databases, using multiple technologies
  • Schedules appointments and meetings for the Dean and library committees, groups and events
  • Organizes and maintains complex, comprehensive electronic filing systems
  • Manages electronic recordkeeping, email, communication and documentation
  • Handles confidential and sensitive materials
  • Coordinates, organizes and hosts Kent Library events
  • Supervises student employees and oversees training, scheduling and work assignments
  • Attends and records minutes at Library’s unit heads meeting and other meetings as needed

 

Required Qualifications

  • High school diploma or GED
  • Strong proficiency with Microsoft Office Excel and Word, and knowledge of Access (for full consideration, Microsoft Office Testing is required by, June 25, 2021; see "Additional Information" section below for instructions)
  • Experience with purchasing, financial reporting and budget management (including basic bookkeeping principles)
  • Excellent interpersonal, verbal and written communication skills
  • Demonstrated administrative skills; such as interacting with others in-person, via email and by phone, managing multiple calendars, coordinating events and record keeping
  • Excellent organizational and time management skills
  • Demonstrated experience and understanding of customer service
  • Demonstrated ability to handle multiple tasks with frequent interruptions
  • Demonstrated ability to handle situations with sensitivity, tact and in a confidential manner
  • Able to work effectively in a team environment
  • Previous work experience that indicates a high degree of accuracy and attention to detail
  • Demonstrated ability to work independently with minimal supervision and exercise initiative
  • Demonstrated commitment to a diverse work environment, including working with multicultural populations and an understanding of, and sensitivity to, issues affecting women and minorities
